Terms and conditions

Bar Booking T&C'S
These terms apply to all bookings made with Midlands Elite Bars Ltd ("MEB", "we", "us", "our").
By paying a deposit, you ("the customer", "organiser") agree to the terms below.

Deposit - Each bar booking is subject to a deposit payment to secure the booking. The deposit must be paid within 14 days of receiving the invoice.
Once the deposit is received, your booking date will be secured and confirmed.

Holding Your Booking Date - MEB will hold your requested event date for 14 days after issuing the deposit invoice. This allows reasonable time for you to review all information and these terms.
If the deposit is not received within 14 days, the date will be released and the invoice voided.

Final Payment - Any remaining balance must be paid no later than 7 days prior to the event date, unless otherwise agreed in writing.
Failure to pay the balance may result in cancellation of services without refund of the deposit.

Cancellation Policy - Cancellations must be made in writing.
• 91+ days before event – 100% deposit refund
• 90–59 days before event – 50% deposit retained
• 60 days or less – 100% deposit retained

Postponement or Change of Date - Requests to postpone or change the event date must be made at least 30 days prior to the event.
MEB will make every effort to accommodate a new date but is not obliged to do so. Reasons we may be unable to change the date include (but are not limited to):
• availability
• staffing
• equipment
• transport or operational commitments
If a new date cannot be agreed, the cancellation policy will apply.

Licensing – Temporary Event Notice (TEN) The customer is responsible for ensuring that the venue holds an appropriate premises licence or that a Temporary Event Notice (TEN) is obtained to cover the sale of alcohol.
Failure to arrange correct licensing will result in MEB being unable to operate. The booking will be treated as cancelled in line with the cancellation policy.

Outside Alcohol - To comply with licensing laws and maintain a safe environment, guests may not consume alcohol that has not been purchased from MEB unless agreed in advance.
If this policy is breached, we reserve the right to refuse service or close the bar without refund.

Challenge 25 - We operate a strict Challenge 25 policy.
Anyone who appears under 25 may be asked to provide valid ID. Failure to do so will result in refusal of service.
It is illegal for adults to purchase alcohol for minors. Alcohol may be removed if we suspect underage drinking.

Refusal of Service - Our staff have the right to refuse service at any time. Reasons include (but are not limited to):
• intoxication
• abusive behaviour
• lack of valid ID
• fake or out-of-date ID
Incidents may be recorded and reported. Fake IDs may be confiscated and handed to the police.

Behaviour & Abuse - We operate a zero-tolerance policy towards physical or verbal abuse.
Any guest behaving aggressively or abusively may be refused service or asked to leave. MEB reserves the right to close the bar if staff safety is compromised.

Access, Setup & Power Requirements - The customer must provide:
• safe and suitable access
• adequate space for setup
• level ground
• sufficient power supply where required
• setup access at the agreed time
If access is unsafe, restricted or unavailable, we may be unable to operate and the booking may be treated as cancelled without refund.

Outdoor Events & Weather - For outdoor events, suitable shelter and weather protection must be provided.
MEB reserves the right to suspend or stop service if weather conditions pose a risk to staff or equipment. No refunds will be provided in these circumstances.

Staffing Welfare - For events exceeding 6 hours, the organiser must provide staff access to drinking water and toilet facilities.

Our Service & Stock - Stock lists and prices are correct at the time of booking but may change due to supply costs or availability.
While we aim to provide all requested products, we cannot guarantee every item will be available. Stock levels are based on typical demand and some items may sell out.
We will always make reasonable efforts to restock where possible.

Glassware - Glassware can only be supplied where adequate washing facilities are available (glass washer or sink with running water).
If facilities are not available, drinks will be served in disposable cups.

Tailored Packages - Any tailored packages (including glass hire, table service, reception or toast drinks) will be agreed and confirmed before payment is requested.

End of Service & Cleaning - MEB will clear its bar equipment and immediate working area only. General venue cleaning remains the responsibility of the organiser or venue.

Liability - MEB accepts no responsibility for loss, damage, injury or incidents arising from guest behaviour or the consumption of alcohol.
The organiser remains responsible for the conduct and safety of their guests.

Force Majeure - MEB shall not be liable for failure to perform services due to circumstances beyond our reasonable control, including but not limited to:
• extreme weather
• government restrictions
• illness
• vehicle breakdown
• power failure
• venue closure
• other unforeseen events
In such cases we will attempt to rearrange or refund at our discretion.

Contact - You may contact MEB at any time regarding your booking. We aim to respond within 48 hours.
